This Privacy Policy describes how Variance AI (“Variance,” “we,” “us,” or “our”) collects, uses, and shares information when you use our platform and related services (the “Service”).

1. Information we collect

We collect information in the following categories:

  • Account information: name, email address, organization details, role, and authentication data.
  • Business content: repair estimates, claim documents, correspondence (including contact phone numbers and email addresses), uploaded files, and notes you create in the Service.
  • Usage information: log data, device and browser information, feature interactions, and diagnostic events.
  • Support communications: messages you send to our team and related metadata.

2. How we use information

We use collected information to:

  • Provide, maintain, and secure the Service.
  • Authenticate users and manage organization access.
  • Process documents and generate AI-assisted comparisons and insights.
  • Deliver claim-related SMS notifications on behalf of shops that use the Service, when a shop chooses to send them.
  • Respond to support requests and communicate about the Service.
  • Monitor performance, prevent abuse, and improve product quality.
  • Comply with legal obligations and enforce our agreements.

3. AI processing

When you upload documents or request analysis, we process that content using automated systems to extract structured data and generate summaries. We do not use your private Customer Content to train public models unless you explicitly opt in to a feature that states otherwise.

4. How we share information

We do not sell personal information. We may share information with service providers that help us operate the Service (such as hosting, authentication, email delivery, SMS delivery, and analytics providers), subject to contractual confidentiality and security obligations.

We may also disclose information if required by law, to protect rights and safety, or in connection with a merger, acquisition, or asset sale.

5. Data retention

We retain information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of certain account data subject to applicable law and legitimate business needs.

6. Security

We use administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your choices

Depending on your location, you may have rights to access, correct, delete, or export personal information, or to object to or restrict certain processing. To exercise these rights, contact us at privacy@variance.ai.

8. SMS and text messaging

Repair shops that use our Service may send you text messages related to an active vehicle repair claim—for example, a secure link to review supplement estimate differences or view repair status. Those messages are sent on the shop's behalf through our platform, not as unrelated marketing.

Consent. You receive these texts only if you provided your mobile number to the shop for claim-related communication and the shop confirmed your contact details before sending a message.

Non-sharing of mobile numbers. We do not sell, rent, or share mobile phone numbers with third parties for their own marketing or promotional purposes. Mobile numbers are used only to deliver claim-related messages that a shop requests through the Service, to operate and secure the messaging feature, and as otherwise described in this policy (such as with SMS delivery providers bound by confidentiality obligations).

Message frequency. Text volume is low and tied to your claim. You will typically receive no more than a few messages per claim—for example, when a shop sends a new review or status link. We do not operate recurring promotional SMS campaigns.

Message and data rates may apply. Contact your wireless carrier for details about your plan.

To stop receiving texts, ask the shop not to contact you by SMS, reply STOP to a message where supported, or email privacy@variance.ai.

9. Cookies and similar technologies

We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. You can control cookies through your browser settings, though some features may not function properly if cookies are disabled.

10. International transfers

If you access the Service from outside the United States, your information may be processed in the United States or other countries where we or our providers operate. We take steps designed to ensure appropriate safeguards when transferring data internationally.

11. Children

The Service is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice.
